Terms and Conditions

The following booking terms and conditions legally bind the agreement between I Trek Himalayan and you (the client) for any treks, climbs, tours, and other services and are governed by the laws of Nepal. Do read and understand these carefully before booking.

The Contract

The contract between I Trek Himalayan and the client becomes liable only after the company receives a receipt of complete booking forms and the essential deposit or full amount, where we hold the upper hand to increase or decrease the trip prices.

Provide accurate name, address, and contact information as stated on your passport, and also make sure all the required payments are fulfilled. In case of your mistakes or inconsistencies in providing the right information, the company will not be accountable.

Booking and Payment

Booking with I Trek Himalayan is easy. Submit your completed online booking form on our website or by email, or if you are already in Nepal, visit our office located in the heart of the Kathmandu Valley, Thamel. Our trip prices are in USD.

10% of the total trip for Nepal and 50% for Tibet and Bhutan is to be deposited to secure your bookings, payable via bank transfer, credit card, and now online. 3.5% transaction fees may apply, and then you wait for the confirmation invoice or email.

The full amount must be paid before the trip departure date. Otherwise, expect booking cancellation and forfeiture of the deposited amount. For any additional warranties, collateral, agreements, services, or terms that are not explicitly stated here, we will not be responsible.

Cancellation and refund policy

Licensed, I Trek Himalayan is known for its fair trade policy with transparent pricing without any hidden clauses or charges, including in its cancellation and refund policy, which is as follows:

Cancellation by the client

To cancel your trip, we need a valid written notice via email at least 20 days before the official trip departure date, and some cancellation charges may apply.

  • 100% of the cancellation charge if less than 15 days before departure; no refund.
  • 50% of the total trip cost if cancelled 15-30 days before the trip departure date.
  • Only the deposit is forfeited on cancellation 30 days before, or you may choose a similar trip within one year.

Note: If the trip is voluntarily cancelled once it begins, there will be no refund, so comprehensive travel insurance is strongly recommended.

Cancellation by Company

You can rest assured that in case of trip cancellation by the company itself due to unforeseen circumstances such as natural disasters, political changes, or other situations concerning safety, there is full refund expect the deposited amount for bookings.

You also have the option of choosing a similar value trip within the year. However, there is no refund for unused services on the trip, including your decision to cancel once the trip, tour, or climb departs.

Reschedule of the Trip

It is important that you remain flexible on changes of itinerary due to flight delays, cancellations, or changes, and other logistical issues, as these are often weather-dependent, which is known for its unpredictability in the Himalayas.

While we do our best to make alternative arrangements for you, we suggest that you plan some buffer days, separate extra budgets, and also arrive a few days earlier in Nepal than the trip departure date.

In case you want to transfer the Himalayan trip, trek, or tour to another person, postpone it, or book it for other adventurers, some additional cost may be incurred but is doable. Written forms with the correct information are all that we need.

Visa, Passport, and Permits

Except for travelers from India, all tourists visiting Nepal must have a passport with at least six months of validity to obtain a visa and essential permits. Tourist visas are available on arrival at the Tribhuvan International Airport (TIA) in Kathmandu and entry points.

I Trek Himalayan does make essential arrangements for managing the required documents, but the final say lies with the client (you), including for travelling, trekking, and tours to Bhutan and Tibet, which further requires having a group of at least two.

Risk, responsibility, and liability

High-altitude Himalayan treks and climbs involve inherent risks. While I Trek Himalayan does take all the precautions for your safety and well-being, no one can completely eradicate the potential risks. So it is a must that you acknowledge.

Be ready to face the risks by yourself. The team of I Trek Himalayan is not to be held responsible for any injuries, accidents, loss of luggage, fatal challenges, and other irregularities that are beyond human control that may arise in the course of the trip.

Code of conduct and update of terms and conditions

Responsible travel and tourism are only there when you respect the local culture, customs, traditions, and nature, despite any contradiction to what you may have seen or been used to. It is essential to follow the lead of your licensed guide and mountain leaders.

For not following the code of conduct, such as disturbing fellow tourists and social harmony, and participating in activities that are considered illegal, but not limited to here, I Trek Himalayan does reserve the right to terminate the trip.

For any extra costs, damages, and legal issues arising due to your actions, you will take responsibility. In addition, these terms and conditions may be upgraded time and again; stay in touch for more up-to-date information.
